We are registered with the UK Information Commissioner’s Office (ICO) as a data controller.

This Privacy Policy explains how we collect, use, store and protect your personal data when you use our website, submit a contact/quote form, apply for a job, or sign up for our newsletter.


1. What personal data we collect


We collect the following personal data directly from you:


Via our main contact / quote / lead forms (Microsoft Forms):


  • Name

  • Email address

  • Phone number

  • Company name

  • Website URL

  • Budget

  • Work experience details

  • Software programs / skills you are capable of using

  • Any message or additional information you provide in the text fields


Via our newsletter signup form:


  • Email address


Via our job application forms:


  • The same categories as the contact form, plus any CV or supporting documents you upload


Automatically via our website hosting provider:


  • Server log data (IP address, browser type, device, pages visited, date/time) – used only for security, troubleshooting and performance monitoring


We do not collect or process any special category (sensitive) personal data.


2. How we collect your data


  • Directly when you fill in and submit a form on our website

  • Automatically through standard website server logs


3. Why we process your data and our lawful basis


We only process your data when we have a valid lawful basis. These are:


  • Responding to your contact, quote or service inquiry — based on our legitimate interests (to run our business and reply to you)

  • Processing job applications — based on our legitimate interests (recruitment) or steps prior to entering into a contract

  • Sending our newsletter — based on your consent (you can withdraw it at any time)

  • Website security, fraud prevention and performance — based on our legitimate interests

  • Complying with legal obligations — based on legal obligation


4. Who we share your data with


Your data is only shared with:


  • Microsoft Corporation (as our processor) – they host Microsoft Forms and OneDrive

  • Our email service provider (to send you the auto-reply and forward your message to us)

  • Our website hosting provider (for server logs only)


We do not sell your data to third parties.


5. International data transfers


Microsoft Forms responses are stored by Microsoft in the United States (this is standard for UK-based Microsoft 365 tenants). OneDrive files are stored in UK data centres.

When data leaves the UK/EU, we rely on Microsoft’s Data Protection Addendum, which includes the UK International Data Transfer Addendum and EU Standard Contractual Clauses together with Microsoft’s security and privacy commitments.

6. How long we keep your data


We keep your data only for as long as necessary for the purpose it was collected:

  • Contact/quote form data: up to 2 years after last contact (or until you ask us to delete it)

  • Newsletter subscriptions: until you unsubscribe

  • Job applications: up to 6 months after the recruitment process ends (or longer if you consent)

  • Server logs: maximum 12 months

We will review these periods regularly.


7. Your rights under UK GDPR and EU GDPR


You have the right to:

  • Access, correct or delete your data

  • Object to or restrict processing

  • Receive your data in a portable format

  • Withdraw consent (for newsletter) at any time

  • Lodge a complaint with the ICO (UK) or your local supervisory authority (EU)

8. Data security


We use standard industry security measures provided by our hosting provider and Microsoft (encryption in transit and at rest, access controls, regular backups). While no system is 100% secure, we take the protection of your data very seriously.


9. Children’s data


Our website is not intended for children under 16. We do not knowingly collect data from children.


10. Changes to this policy


We may update this policy from time to time.

The “Last updated” date at the top will be changed. We will notify you of any material changes by posting the new version on our website.
